Contacts are the core of CommuLand. Manage your business relationships with AI-powered extraction, duplicate detection, and team collaboration.

Overview

The Contacts page displays all contacts in your organization. Each contact can include:

Personal Info

First name, last name, job title

Contact Details

Email, phone, social media

Company

Linked organization, website, address

Tracking

Event, source, status, tags, owner, assignees

Create Contacts

There are three ways to create contacts:

1. Guided Mode

Step-by-step contact creation with business card OCR support.

  1. Step 1:Upload Card — Upload the front of a business card (and optionally the back). AI will extract the text immediately.
  2. Step 2:Review & Save — Review the AI-extracted fields (name, email, phone, company, etc.), make edits, select an event and organization, then save.
Tip: When uploading both front and back card images, CommuLand automatically performs OCR on both sides and merges the extracted data. Front card data takes priority for overlapping fields.

2. Fast / Batch Upload

Upload multiple business card images at once. AI extraction runs in the background.

  1. Step 1:Drag & Drop — Drag files into the upload area or click to select. Supports images (JPG, PNG, HEIC, WebP) and PDF files.
  2. Step 2:Select Event — Choose an event to link all uploaded contacts to.
  3. Step 3:Upload — Files are uploaded one by one. For each file, a contact is created and an AI extraction job is queued.
Note: Each file counts as one contact. PDFs with multiple pages will have all pages extracted and merged into a single contact.

3. Manual Entry

Create a contact by filling in the form fields manually without uploading any business card. Useful for contacts received via email, phone, or in-person conversations.

AI Extraction

CommuLand uses AI (powered by Azure OpenAI) to extract contact information from business card images and PDF documents.

AI Status

AI ProcessingThe AI extraction job is queued or in progress.
ReadyAI extraction completed successfully.
AI FailedExtraction failed. Use the Retry button to try again.
Retry Logic: AI extraction automatically retries up to 3 times on transient errors. If all attempts fail, the contact is marked as "AI Failed" and a manual Retry button appears on the contact detail page. Clicking Retry resets the job and starts fresh.

Credits

Each AI extraction consumes 1 credit. If you run out of credits, queued jobs will pause with an "Insufficient credits" message. Top up credits in Billing & Credits and retry.

Batch Upload

The batch upload feature lets you upload dozens of business cards at once:

  • Drag and drop files into the upload area
  • Supported formats: JPG, PNG, HEIC, WebP, PDF
  • Each file creates one contact with an AI extraction job
  • Files are uploaded sequentially to prevent server overload
  • Failed uploads automatically retry up to 2 times
  • AI processing runs in the background with auto-recovery
Concurrency: Under high load, CommuLand uses atomic job claiming to prevent duplicate processing. Jobs stuck for more than 5 minutes are automatically recovered and re-queued. Rate-limited requests (429) are re-queued instead of failing.

Merge Duplicates

CommuLand automatically detects potential duplicate contacts based on:

  • Email match — Same email address
  • Phone match — Same phone number
  • Name match — Same first name + last name combination

Contacts flagged as potential duplicates are marked with a "Duplicated" verification state. Navigate to the merge page to review side-by-side comparisons and merge contacts with a single click.

Verification States

ConfirmedContact has been reviewed and confirmed.
PendingContact is awaiting review (typically after AI extraction).
DuplicatedPotential duplicates detected — review and merge recommended.

Export Contacts

Export your contacts to CSV format for use in marketing tools, email campaigns, or accounting software. The export follows a standard template compatible with popular CRM and accounting platforms.
